Outlook - Exchange
 Cached Mode
  • Outlook Advantages
    • Calendar, Tasks, Contacts
    • All email kept on server.  (If your hard drive crashes you don’t lose anything.)
    • Cached Mode
      • Allows you to access all email when not on the network, caches all of your email, calendar, contacts, … to your local machine
      • Can compose email when not on the network and then it will be sent when you reconnect

Offline access to Files

  • Synchronizes your files.
  • Allows you to keep your files on the network, but makes a “copy” of them on your local hard drive.

What is a Tablet PC?
  • A  fully functional notebook computer that runs Windows XP Tablet PC Edition
    • Runs all Windows XP Applications
  • In addition to standard notebook functionality, the tablet provides:
    • Digital Ink capabilities allowing for pen-based markup of documents and handwritten notes
    • Handwriting recognition
    • Voice Recognition
    • We are just beginning to understand the possibilities

Battery Notes
  • There is no external Battery charger
  • If the AC is plugged into the computer the battery will be charging.
  • Battery light will be blue when battery is fully charged.
  • Battery light will be violet when battery is charging.

Port Replicator
  • What is it?
    • Device that remains in your office with a full size monitor, keyboard and mouse attached.
    • Allows you to treat your laptop as a desktop computer.
    • Can plug in other devices to the port replicator
      • Printers, Scanners, USB Zip drive, Speakers, …
  • Steps to remove from Port replicator
    • Undock -> Remove from Dock -> close lid of computer (StandBy)

  • Extended Desktop allows you to connect two monitors to your computer.
  • May wish to consider a notebook stand.

  • Turning your computer on
  • Type in “highlander” as the username

Establishing a Wireless Connection
  • Look at network connections icons
  • If there is a red X beside both of them we need to configure wireless.
  • Right click
  • View available wireless networks
  • Check the box “Allow me to connect”
  • Click Connect
  • 2nd red X should disappear

Registering your MAC address
  • What is a MAC Address
    • Each computer has a unique address identifying the network card
    • Example Mac Address: 00-0E-35-06-98-FA
    • Like a Serial number for the Ethernet card in your computer
    • Gets broadcast on the network when you connect to the network
  • Why do you need to register?
    • Allows ITR to locate computers causing problems.
    • Insures that only valid RU users access the RU wireless network.
  • Process may change over the summer.

Powering Down
  • Standby
    • Reduces the power consumption of your computer by cutting power to hardware components you are not using.  Maintains power to your computer’s memory so you don’t loose your work.
  • Hibernate
    • Hibernate saves an image of your desktop with all open files and documents, and then it powers down your computer. When you turn on power, your files and documents are open on your desktop exactly as you left them.
  • Undock (only available when connected to the port replicator)
    • Allows you to safely disconnect from the port replicator without powering down the computer.
  • Shutdown
  • When I close the lid on my laptop what happens?
    • Your computer goes into Standby mode when you close the lid.
    • Start->Settings->Power Options->Advanced

What mode to use when?
  • Environment = Network connectivity configuration.
  • Undock
    • When removing the computer from the Port Replicator
    • Process for Undocking
    • Undock -> Physically remove from Port Replicator -> Close Lid (Standby)
  • Standby
    • When moving around in the same environment.
    • Going to a meeting.
  • Hibernate
    • Will not use the computer for a little, but will be in the same environment.
    • WHEN SWAPPING YOUR BATTERY
  • Shutdown
    • If your network environment is going to change drastically you should Shutdown instead of going to standby.
    • When getting ready to go home.
    • When leaving home coming back to work.

    • If set to Work Offline may not synchronize files

Laptop Security
  • Physical Security
    • Never leave your laptop unattended.
    • Lock your laptop up when you are gone.
    • Record the RU Asset Tag number and Serial number of your computer.
    • Store all important files on a network drive or back them up regularly.
    • Verify that your homeowners insurance covers the theft of a laptop while in your home.
    • The RU logo is prominently imprinted on the lid of university-owned laptops.  Report any suspicious activity especially students carrying laptops with the RU logo on them.

What if my laptop is stolen?
  • Call Campus Police (540) 831-5500 immediately and file a police report.
    • Along with details of the theft, you will need to provide the Serial Number, RU Asset #, and Computer Name of the stolen computer.
    • Campus police will report the theft to 1) the Computer Help Desk, 2) the Fixed Asset Technician in Accounting Services (Kathy Burnett) and 3) the University Risk Management Officer (Tom Smithwick).
    • Contact the Computer Help Desk at (540) 831-7500, Walker Hall 154 to request a loaner laptop while the investigation for your stolen computer proceeds.
  • The department will be responsible for entering a purchase requisition for the replacement computer and paying the $1,000 deductible if the police are unable to locate the stolen computer.

What if my laptop is damaged?
  • Call the computer Help Desk (540) 831-7500 and provide them with information on the nature of the accident and the extent of the damage.
  • Bring all of the parts to the Computer Help Desk (Walker 154)
  • Once your computer is repaired, you will be contacted to return the loaner computer to Walker and swap it for your repaired computer.

  • Will get updates from RU or McAfee servers

CSA – Cisco Security Agent
  • All users will have administrator access on their computer
  • This is our eyes on you
  • Be careful about what you install
    • Kazaa and other apps install spyware and SLOW your computer down
  • CSA is a new breed of security software to helps protect your computer without the need for virus updates
  • Think of it as your own personal security officer

  • What is it?
    • VPN – Virtual Private Network
    • Makes your computer appear as though you are on campus
  • When do I use it?
    • RU On Campus
      • Secure connection for wireless
    • RU Off Campus
      • Allows you to access exchange, h: drive and other resources you would normally be unable to access.
  • You will see lock on task bar when active.

  • Plug your phone line into the computer.
  • Turn the computer on
  • Login to the Radford domain with your username and password.
  • Click on the Radford Modem Pool icon on the Desktop
  • Enter your username and password

DSL – Cable Modem
  • With your tablet off, connect an Ethernet cable from the back of your computer to your DSL or Cable modem
  • Turn the computer on
  • Login to the Radford domain with your username and password.
  • Start the VPN Client
    • Start -> Programs -> RU Network ->
    •    Cisco Systems VPN Client -> VPN Client
    • Click on RU Off Campus and click connect.
    • Enter your username and password
  • Start Outlook

Managing Files & Folders
  • Offline Files and Folders
    • Configures your computer to synchronize files on your computer with files on a network drive when you log on or log off the computer.
    • This allows you to keep a copy of important files on your computer when you are disconnected from the network.
  • Determine folders on H: drive you want available when you are disconnected from the network.
    • If you mark everything as Offline it will take time every time you log off and log on.
    • Do not recommend that public_html is marked offline if your web site is very big.  Takes a large amount of time to synchronize.
  • IMPORTANT NOTE:  When you go to Standby files are not synchronized unless you do it manually.  Thus, it is important to shutdown or synchronize before you leave for the day.

  • Choose a folder to make available offline
  • File -> Make Available Offline
  • (Right Click on Folder – Make available offline)
